If you are an event organizer located anywhere outside of North America, Australia, and New Zealand, securing the rights to screen major Hollywood films just got significantly easier. Through the Cinewav platform, you can now apply directly for film licensing for your events. We cover most of the major Hollywood studios through our partnership with licensing provider FilmbankMedia.

In this guide, we will walk you through the simple process of submitting a new license request directly from your Cinewav Organizer dashboard.

Step-by-Step Guide to Requesting a License

The process is fully integrated into the Cinewav Eventfolder backend, allowing you to manage your event details and licensing in one place.

1. Access the Film Licensing Menu

Once you are signed into your Cinewav Organizer dashboard, look at the left-hand navigation menu. Click on Film Licensing and then select Add to create a new request. If you are an existing customer, simply check the "Existing Customer" box, and your basic details will be filled in automatically.

2. Provide Venue Details

You will need to add your invoice address, country, and specific venue information. When entering the venue, it is highly recommended to provide more than just the street address. Include a brief description of the location — such as whether it is a golf club, a winery, or a public library. The studios want to understand the context and environment of the screening.

3. Enter Screening Information

  • ▸Screen Size: Enter the diagonal size of the screen you will be using.
  • ▸Max Audience Size: Indicate the maximum number of attendees expected.
  • ▸Admission Fee: If you are charging for tickets, check this box and enter the ticket price. If the event is free, leave it unchecked.

4. Describe Your Event's Purpose

The "Screening Summary" section is where you explain the intent behind your event. For most organizers, this will simply be "community building." You can elaborate slightly, such as "community building around a public space" or "community building for a special interest group."

5. Outline Your Advertising Strategy

If you plan to advertise the screening, check the advertising box and briefly describe your strategy. Mention the channels you will use, such as Instagram, Facebook, local newspapers, or radio, and specify the organization responsible for the marketing. There is also a section to list any third-party promotions if applicable.

6. Select the Film and Format

Add the title of the movie you wish to screen. For the format, DVD/Blu-ray is the most common and recommended choice. Once you have secured the license, you are permitted to use Disney+ for playback. For Warner Bros. films, a specific download manager is typically required. However, if you are in any doubt during the application process, simply select DVD/Blu-ray, and our team can help you sort out the specifics later.

7. Submit for Approval

Finally, enter the number of screenings and the specific dates. You can save your progress as a draft or submit it immediately. Once submitted, the Cinewav team will send your request off to the studios for official approval.
